(a) Data.(1) OO staff maintain records of inquiries and complaints in the OO primary recordkeeping system. (2) In accordance with Texas Government Code §531.995, HHSC and DFPS must provide an ombudsman access to the records that relate to a complaint the ombudsman is reviewing or investigating. (b) Agency Monthly Contact Report (AMCR). In accordance with Texas Government Code §531.9915(d), OO staff compile a monthly report of consumer, individual, and LAR contacts received by HHS programs, including those received by vendors contracted to provide services on behalf of an HHS program. OO submits this report to the HHSC executive commissioner and designated program management staff across the HHS agencies on a periodic basis. OO staff may also provide reporting of program-specific contact data to management teams of HHS programs. (c) Annual Report.(1) Each ombudsman must prepare an annual report in accordance with Texas Government Code §531.998. (2) No later than December 1 of each year the report must be submitted to the governor, the lieutenant governor, the relevant standing committees of the legislature, each member of the legislature, and the HHSC executive commissioner. (3) The report must be publicly available on the HHSC website.
